The Administrative Assistant at SUMMIT will provide high-level administrative and organizational support to the General Manager and Managing Director. A successful candidate will have an abundance of self-initiative, a drive for excellence, and the ability to problem solve a wide range of issues. In this role you will need to work well in a team environment, be able to represent the General Manager and Managing Director with professional courtesy and acumen and deliver flawless work output.

Key Responsibilities

  • Provide high-level administrative support for the General Manager and Managing Director
  • Manage, file, and respond to routine and confidential correspondence
  • Coordinate communication and scheduling between department heads; organize department head meetings
  • Maintain complex global calendars and manage heavy scheduling needs
  • Rapidly record verbal dictation; prepare and distribute meeting minutes and agendas
  • Plan and coordinate internal and external meetings, conferences, and events
  • Oversee office management, including organization, supplies, and building access
  • Meet with potential clients on behalf of leadership and conduct in-depth tours
  • Process and track expenses, vendor invoices, and reports
  • Support project work including research, presentation preparation, and special assignments
  • Manage SharePoint files and act as group librarian
  • Coordinate travel arrangements and itineraries
  • Develop, document, and streamline departmental processes
  • Build strong relationships with clients and business contacts
  • Manage and track special projects for department heads, ensuring deadlines are met

Education and Experience

  • Bachelor’s degree or equivalent experience
  • 2-4 years of administrative experience, preferably within an executive department or fast- paced business environment

Knowledge, Skills, and Abilities

  • Must be proficient in Microsoft Excel and various video conferencing technologies
  • Thorough knowledge of grammar, punctuation, and spelling
  • Must have a strong attention to detail
  • Willingness to participate in special projects and quickly get up to speed; strong comprehension skills are necessary
  • Willing to work late on occasion when necessary

Communication Skills

  • Must demonstrate strong verbal and written communication skills
  • Superb teamwork and interpersonal skills with the ability to build strong working relationships
  • Advanced organizational skills, with the ability to multi-task and prioritize in a fast-paced business environment
  • Ability to coordinate multiple workflows and simultaneous deliverables
